Payroll admins can create and use duplicated versions of standard hour-based earning codes. This allows multiple variations of the same pay type to be assigned to the same employee and used in the same payroll run.
This article explains how duplicated codes work and what you can expect when using them in payroll.
How do duplicated standard hours-based codes work?
Duplicated codes automatically inherit the tax configuration and calculation behavior of the original standard code.
Both the original standard hours-based code and the duplicated code can be assigned to the same employee at the same time.
Duplicated codes display anywhere earning codes appear, such as:
- Hours & Incomes step
- Edit drawer in payroll
- Other Incomes section
- Grid view
- Payroll reports
They behave the same as other custom earning codes, with their own separate totals.
What is the default code behavior for regular hours?
If you set a duplicated Regular Pay code as the default for Regular Hours:
- The payroll table will populate Regular Hours using the default code.
- You can still add hours to other Regular Pay variants (e.g., the standard Regular Pay code).
- The payroll summary will show:
- Regular Hours based on the selected default code
- Total Hours combining all codes
- The hours drawer showing both codes separately
How do I duplicate a standard hours-based income code?
You can duplicate any of the following standard earning codes: Regular Pay, Sick Pay, Overtime (OT), Double Overtime (Double OT), and Statutory Holiday (worked).
Each duplicated code becomes a custom earning code.
1. In the navigation menu, go to Settings.
2. Under Payroll settings, click Incomes.
3. Locate the desired income and click the dropdown arrow.
4. Select Duplicate. The entire code structure is duplicated.
5. (Optional) Rename the code and add a new description.
6. Click Save.
Example: Duplicate standard hours-based code
A payroll admin duplicates Sick Pay to create Sick Pay – Casual.
- Both codes are assigned to the employee
- During payroll, the admin enters hours for both
- The payroll run accepts both entries
- Each code appears separately in the grid and reports with its own totals
- Pay and deductions calculate correctly
