The Wagepoint and FreshBooks integration lets you automatically sync payroll data from Wagepoint to your FreshBooks accounting software. This means you can streamline your financial management by eliminating manual data entry and keeping your records up-to-date.
Why integrate with FreshBooks?
- Save time: Eliminate manual data entry and streamline your payroll processes.
- Improve accuracy: Reduce errors associated with manual data transfers.
- Gain better insights: Access a consolidated view of your financial information in one place.
FreshBooks 'Lite' plan users cannot connect to Wagepoint. This plan doesn't include the necessary features (like JE entries) required for data transfer. If you have a 'Lite' plan, you'll need to upgrade to a different FreshBooks plan to enable the integration.
Connect to your FreshBooks account
1. In the navigation bar, go to Add-ons.
2. Locate the FreshBooks card and click on it to access the integration page.
3. Click Connect to FreshBooks.
4. Log into your FreshBooks account.
5. In the Connect with Wagepoint window, select the business you want to connect with your Wagepoint account.
6. Click Connect.
Map the chart of accounts
After connecting your accounts, you'll need to map your Wagepoint chart of accounts to your FreshBooks chart of accounts. This step is crucial for Wagepoint to send the payroll data to the correct location within your FreshBooks account.
- Automatic Mapping: When you reach the "Chart of Accounts" tab, you'll see an option to let Wagepoint automatically map default accounts. This simplifies the process if your chart structures are similar.
- Manual Mapping: You can also manually select corresponding accounts from each chart.
1. Either click GO to Chart of Accounts or go to the Chart of Accounts tab in app navigation.
2. In the Missing chart of accounts window, indicate if you would like Wagepoint to use automatic mapping:
- If yes, then Wagepoint will automatically map your chart of accounts. You can still review and make any changes.
- If no, then you will complete the mapping manually.
- Under Payroll bank account, ensure an account from the Chart of Accounts is selected, then select Save
Export to FreshBooks
Automatic sync
Automatic sync allows for your payroll data to move to FreshBooks each time a payroll is finalized.
This setting is available after the Chart of Accounts is completed, but must be enabled. It will export only payrolls run after it is enabled. If you need to export past payrolls, you can use manual export.
Manual export
The manual export features allows you to manually export your payroll data over to FreshBooks.
Use this tool if you need to export any payrolls from before automatic sync was enabled or if you prefer to do it manually.
Known Limitations
- The journal entry posts to the general ledger, reducing the bank account balance.
- Then the bank feed import from your actual bank account also reflects the same cash reduction.
- As a result, both entries appear, duplicating the payroll expense in the bank account balance.
Troubleshooting: My export failed. What do I do?
If your export failed, try these troubleshooting steps based on why the failure occurred:
-
Your Chart of Account mapping is no longer complete.
For example, this may be because an account in FreshBooks was deleted.
What to do: In your Wagepoint account, go to Add-ons > FreshBooks and review or complete your Chart of Account mapping. -
Your FreshBooks plan is not supported.
For example, you are on an invalid plan (such as the Lite plan) or your plan has expired.
What to do: Change your FreshBooks plan, then reconnect the integration within Wagepoint. -
An error occurred while connecting FreshBooks and Wagepoint.
In this case, any errors detected by FreshBooks will appear on Settings > Freshbooks in your Wagepoint account.
What to do: We recommend disconnecting and reconnecting your integration. If that still doesn't work, contact support@wagepoint.com and our friendly support team can help.
