Create and submit T4 year-end forms for employees

Important notes about Year-end forms in Wagepoint 2.0

  • Tax forms will not be automatically created. In order to create tax forms you must complete the Year-end workflow.
  • The Year-end forms generator may take a few moments to populate fields between steps.
  • To save your progress at any time during the Year-end workflow, be sure to click Save & Exit. If you click Cancel and do not choose to save your work, you may need to restart the entire workflow again.
  • If you close or sell your business mid-year, you cannot create your tax forms early. If you are required to submit your forms to the CRA early, you must do so outside of Wagepoint.

If you don’t see the Year-End tab in your Wagepoint account yet, don’t worry! Access to the year-end form workflows will automatically become available on January 5, 2026.


 
 

Step 1: Navigate to the year-end forms workflow

1. Log into your Wagepoint account. In the navigation bar, go to Payroll > Year-end.

2. Under Year, select the appropriate year from the drop-down menu.

3. Under CRA payroll account number, review your account number. If necessary, use the drop-down menu to select a different number.

 

4. In the table, click Prepare T4s

 

Step 2: Set up your year-end workflow

1. Under Primary contact, enter the details for your primary contact (Box 76 and Box 78).

2. Under Dental benefits, use the drop-down menu to select the default option for box 45 (Employer-offered dental benefits). This option will be set by default in your T4s, but you can still change it on an individual basis within the workflow.

3. (If applicable) If any employees or contractors are missing home address or SIN information, the Details to review section will appear. 
  • Click Review to open the review slide-out.
  • Under People with missing home address, click Add home address to enter missing home address information.
  • Under People with no SIN, click Edit SIN to enter missing SIN information. In most cases, a real SIN is required to avoid issues with your year-end forms. In some cases, you may prefer to leave the SIN as 000-000-000.

 

 
4. Under Create T4s for employees, indicate whether you'd like to create T4s for all employees or some employees, then click Prepare forms
  • If you select All employees, then you will begin the year-end form review. 
  • If you select Some employees, a slide-out window will appear with a list of your employees. Use the checkbox to select the relevant individuals, then click Save. You will prompted to confirm your choice before moving on to the year-end form review.


The system may take some time to load the next step and in between workflow steps. This is normal due to the large number of fields that must be populated.

 

Step 3: Review and edit T4 forms

In this step, you'll review and make any changes to each of your employees' T4 forms.
 
  • To save your progress at any time, be sure to click Save & Exit. If you click cancel and do not choose to save your work, you will need to restart the entire workflow again.
  • If home address or SIN details are missing for one of your people, a banner will display at the top of this page.
 
1. Under Select each employee to view, use the drop-down menu to select the first employee for review. You'll need to review each employee's T4 before moving on to the next step
 

 

 

2. Make any needed changes to T4s.


  •  
    To edit an employee’s T4, follow these steps:
    • Each individual's form is displayed in a read-only state. To make changes, click Edit.

    • Acknowledge that changes made here will not update any other part of the application, then click Edit Form.

    • Make any required changes to the editable fields.

    • If needed, click Add additional row to include more fields.

    • When finished, click Save to return the T4 to view-only mode.

    Any changes made to an individual's T4s are captured in the Change log. 
     
    To view the change log:
    • Click the drop-down arrow and select View change log.
    • Review the changes, then click Close.
  •  
    If you would like to revert the T4 to the original state:
    • Click the drop-down arrow and select View change log.
    • Click Revert to original to confirm.
     
       
 
3. Repeat steps 1 and 2 as you review the T4s for each of your employees. You'll need to review each employee's T4 before moving on to the next step.
 
4. When you have reviewed and made any necessary changes to each employee's T4, click Continue to Summary to proceed to the next step in the Year-end workflow. 

 

 

Step 4: Review Summary and Submit Forms

The final step in the Year-end workflow is the final summary. This is where you'll confirm your T4 details, your submission method, and next steps.

1. Under T4 summary details, review each summary line. 
2. Under Confirmation (required), use the checkbox to indicate that all the information you have provided in accurate and that you understand that filed, any further changes will require an amendment.
3. Click Submit to Wagepoint to complete the T4 workflow.

Important note: Once you click this button, we are unable to change your submission method and any changes to your forms will require you to directly amend these forms with the CRA. You cannot make any amendments through Wagepoint.

FAQs: Create and submit year-end forms

  • Once the year-end workflow has begun, you can’t directly remove or change the individuals selected within the package. However, if your forms package is still in Draft status, you can reset it. Resetting the package will allow you to reselect which employees or contractors should be included, but it will also erase all progress made so far, including any edits within individual forms.

    To reset your package:
    1. Navigate to Payroll > Year-end.
    2. Locate the relevant forms package.
    3. Click Reset package and confirm.

    If your forms package is in the Submitted to Wagepoint status, you will need to Revert to draft before you can reset the package. If the forms package has been submitted to the CRA already, then no further changes can be made within Wagepoint.
  • There are two types of messages you may see while editing your forms:

    1. Guidance notes: These highlight something you may want to double-check (for example, if a value looks unusual compared to Wagepoint’s calculations). These do not stop you from submitting your forms and if the information is correct, you can continue.

    2. Required validations: These appear when information is missing or entered incorrectly. These messages must be fixed before you can move forward in the workflow.
  • Yes. If your T4 or T4A package is still in Draft status, you can reset the entire package. This will reset all forms in the package and delete any progress you’ve made.

    To reset:
    1. Go to Payroll > Year-end.
    2. Find your forms package in the table.
    3. Click Reset package and confirm.

    This action cannot be undone.
  • If the package status is Submitted to Wagepoint, you may still make changes as long as Wagepoint has not yet filed your forms with the CRA.

    To edit:
    1. Go to Payroll > Year-end.
    2. Locate the forms package.
    3. Click Revert to draft.
    4. Confirm the action.

    This returns your forms to an editable state and reopens the workflow. If your forms have already been submitted to the CRA, it can no longer be edited within Wagepoint.
  • If an admin updates an employee’s address, SIN, or name while the year-end workflows are in a Draft state, then the forms will automatically update when you resume the workflow. If the package has already been submitted, then changing employee information in their profiles will not change anything on the forms.
  • Once a forms package has been submitted to the CRA, it can no longer be edited in Wagepoint. Copies of your submitted forms can still be downloaded for reference from the Year-end page.
  • If you choose to submit your forms manually, you are responsible for submitting your own forms to the CRA, outside of Wagepoint. We recommend that you utilize the Year-to-date report to gather the information needed to manually file your forms. That said, if you do not complete the workflow and the forms package remains in a Draft state, then we will not submit any forms to the CRA. You cannot print the forms from Wagepoint, but you can use the amounts to fill out your forms manually.
  • Wagepoint support will be able to assist with amendments and cancellations in the new year.
